    Press Releases

    The main purpose of a College Press Release is to:

    Increase public awareness of activities and services provided by the College.

    Increase public awareness of faculty and student accomplishments.

    Increase awareness of special programs or services provided by the College.

    Who Writes Press Releases?

    Any Andrew College departments that need to promote a new initiative or event should complete a Public Relations Print, Publicity, and Photography Request Form. Individuals are encouraged to draft a Press Release and forward it to the director, who will ensure that the release is approved by all relevant parties and is issued to the media. The director may re-write any draft that comes in to ensure that it suits the requirements of the media. No Andrew College Press Releases should be issued to the media without liaising with the director first.

    Who should be quoted in Press Releases?

    Quotes are devices to make the Press Release more interesting to read and to back up the information in the Press Release. In most cases, the individuals directly involved with the activity should provide quotes. In some cases, it may be appropriate for just a director or a student to be quoted – and in a few instances where the Press Release is only aiming to provide a brief announcement or statement, no quote is needed.

    There must be contact details on the Press Release to enable the media to go to someone for more information. This should include anyone quoted in the Press Release; however, it is essential that the individual submitting the release let the director know whether they will be available at the time of issuing the Press Release. All contacts must make themselves available to the media for the first point of contact and let the director know when the media contacts them and the nature of the call.

      Publications/Printed Materials

      Publications/Printed Materials

      The Office of Communications & Marketing will assist your department with the planning, developing, and writing brochures, newsletters, and other publications. The office will work to coordinate the design of your publication. And, if your publication must be printed off campus, the director will assist in finding the best price at a local printer. To ensure the success of your project, please notify us at least six (6) weeks prior to the time the publication is needed.

      Working with The Office of Communications & Marketing in the development of printed materials ensures the publications will meet with the standards and guidelines established to maintain the College’s image.

      The Office of Communications & Marketing provides consistency of information and style and ensures that public information about Andrew College is:

      Clear, concise, and accurate

      Meets the requirements of various academic departments and administrative units

      Reflects the stated mission and vision of the College.

      Regardless of whether you use the Office of Communications & Marketing to develop your materials, all publications geared toward external audiences must get written approval from the Office of Communications & Marketing before printing.

        Photography

        Photography

        Photography services are by appointment and can be provided for classroom activities, events, performances, athletics, and portraits. With only one photographer, scheduling can be a problem, so advance notice will help ensure your request can be met. Please provide at least two (2) weeks’ notice prior to your scheduled event/photo session. All photography is digital. It is very important to know the intended use of your photographs to ensure an appropriate image resolution. Images designed for web page use or computer presentations do not require the same resolution as images destined for printing. Images copied from web pages ARE NOT suitable for printed publications. If you are aware of a particular image you would like to use for a printed project, please call and advise the director to obtain a high-resolution version of the image appropriate for the intended output.

        After completion of the photography session: Photographs will be accessible through a Google Drive folder. The Office of Communications & Marketing does not provide prints.

          Media Relations

          Media Relations

          If you are planning a major event, please remember to include a representative of The Office of Communications & Marketing in your planning sessions so that we may assist you with advance and day-of coverage of the event. To ensure that your event receives the attention it deserves, it’s good to give at least six (6) weeks’ notice prior to your scheduled campaign/event.

          In addition, the Office of Communications & Marketing staff:

          Develops and maintains a relationship with the media, keeping in contact on a daily basis.

          Pitches story ideas about Andrew College and its faculty, staff, and students.

          Helps the media with its coverage of the College.

          It aids the media in finding campus experts to be quoted on issues in the news.

           

          How to get your news distributed to the media

          Examples of news items or story ideas:

          Upcoming cultural events, such as concerts, plays, readings, lectures, and exhibits.

          Announcements of recognition awarded to faculty, staff, and students.

          Announcements of new degrees or programs.

          Announcements of grants awarded to Andrew College faculty or programs.

          Activities that Andrew College faculty, staff, and students are involved in outside the campus may be pitched as features.

            Advertising/Marketing

            Advertising/Marketing

            The Office of Communications & Marketing oversees the College’s overall advertising and marketing campaign. The office negotiates for general advertising aimed at promoting the College’s image in publications aimed at prospective students and their parents.

            The office will also assist individual departments who may wish to place advertisements to promote specific programs or classes. If a department wishes to purchase advertising, College Communications will:

            Meet with the Director of Communications & Marketing to determine the best, most economical approach to promotion (radio, TV, or print, for instance.)

            Assist with the planning, writing, and design of the advertisement.

            Negotiate with the newspaper or station to get the best price.

            Negotiate placement of the ad to ensure the best visibility for the ad.

              Web Development

              All areas of the College may request a web presence on the official Andrew College website, www.andrewcollege.edu, through Office of Communications & Marketing. In general, the department, division, or office supplies content. However, if there is content that you need help with, we will be happy to assist.

              The website is primarily used as a public relations, marketing, and information tool to attract and retain qualified students, faculty, and staff but also serves as an information and communications avenue for the campus community. The website should provide information that benefits our campus community by improving the College’s day-to-day business functions and strengthening our communication methods.

                  The purpose of using social media channels on behalf of Andrew College is to support the College’s mission, goals, programs, and sanctioned efforts, including college news, information, content, and directives. Social media is also a powerful tool for building pride and encouraging dialogue among our community members.

                  Getting Started

                  Prior to engaging in any form of social media involving Andrew College, a few first steps are strongly encouraged:

                  Please consult with your supervisor as appointed by your department head and let him/her know that you are interested in utilizing social media in your area.

                  Read over the social media guidelines provided on this site to familiarize yourself with Andrew College’s policies and expectations.

                  Contact the director of communication and marketing for assistance in determining which, if any, social media channels are right for you and your area.

                  Work with the director to ensure proper Andrew College branding for your social media sites and to help gain followers.

                  While Representing Andrew College

                  Follow the Andrew College Brand Guidelines 

                  Adhere to the terms of use of the social network you’re using.

                  Respect copyright, fair use, and financial disclosure laws.

                  Verify information before you post it.

                  Make sure your links work.

                  Make sure you’re creating dialog, not just pushing content. Give your fans something to respond to or act on.

                  Thank people for input and feedback, including negative feedback.

                  Don’t forget to be human, even when interacting as an entity rather than an individual.

                  Editorial & Visual Branding:

                  Be mindful that all posted content is subject to review in accordance with Andrew College’s employee policies and editorial guidelines.

                  Andrew College logos and/or visual identity cannot be used for personal social media without college permission. If you need assistance or guidance, contact us.

                  Avoid the use of all-caps in any messaging (example: “UPCOMING EVENT”). This translates to “yelling” and harsh tones online, which might be harmful to engaging audiences.

                  The use of photos and videos as content pieces leads to a greater amount of engagement with your posts. Do your best to include hi-res imagery with your content. Avoid posting small and/or pixelated images when possible.

                  Confidentiality, Privacy, and Safety:

                  Confidential or proprietary college information should not be shared publicly on Andrew College’s social media channels.

                  Andrew College Social Media Channels are not used for:

                  Promoting causes or businesses unrelated to Andrew College through Andrew College’s social media channels is unacceptable. This includes posting spam messages to promote non-Andrew College-related communications.

                  Advancing an agenda

                  Andrew College’s social media is not intended to serve as a platform to promote a particular opinion or stance on any topic. You may express your opinion on a topic if it is respectful and factual. However, do not make repeated posts advancing overtly political, moral, or religious positions, events, or causes.

                  Misrepresentation/Copyright

                  Do not post words or photos that are copyrighted by someone else. This includes posting comments unrelated to an individual post’s topict.

                  Offensive to others

                  Use of language that is hurtful, defamatory, discriminatory, racist, sexist, offensive, obscene, inflammatory, unlawful, vulgar, or otherwise objectionable is not appropriate on Andrew College’s social media channels and will not be tolerated. We protect our community from offensive and harmful social media posts.

                  Sharing personal information

                  We discourage followers of Andrew College’s social media from sharing personal, identifying details or contact information and email addresses. Posting another individual’s personal information is also a violation of our guidelines.

                  If you do not follow these requirements…

                  Comments, links, photos, videos, or other content that violates the stated purposes and requirements of participation in Andrew College’s social media communities will be removed without advance notice, explanation, or discussion.

                  We are committed to uphold the integrity of our social media pages. Contact the director of communication and marketing if you become aware of any content that violates these expectations or if you have any questions.

                  College News:

                  Your personal social media account is not an appropriate place to distribute college news. If you have Andrew College information or news that you would like to announce to the public or media, please contact the director of communication and marketing.

                  In compliance with the policies and rules set by the athletics program, do not acknowledge social media posts or content from incoming students who claim to have signed with an Andrew College athletics team unless the news has been confirmed by our athletics department. The best rule of thumb: don’t announce anything unless it’s been announced by Athletics.

                  Creating an email signature can be surprisingly complex. How much information should you include? And how should it be formatted? The guidelines below will give the people you contact the information they need and present a consistent appearance for emails sent from across Andrew College.

                  DOWNLOADS

                  Download the Andrew College logo  or the Andrew College Athletics logo that has been optimized for use in email signatures. Once you have downloaded a logo to your computer, add it to any of the email signature templates below. The logo should be placed at the very bottom of the signature.

                  NOTE: Do not copy the logo image directly from a web browser and paste it into your email signature. Doing so will make the logo render incorrectly. Instead, right-click on the wordmark to save it to your computer, and then add it to your signature from your computer’s hard drive.
